Our commitment
System Integrators is a worker owned cooperative that has been designing and installing home technology systems in Vermont, New York, and New Hampshire since 2003. We are invited into our clients’ homes, and often into the systems that protect them. We treat the information that comes with that access the way we would want ours treated.
This policy explains what information we collect, why we collect it, how we protect it, and the choices you have. In plain terms: we collect what we need to design, install, and service your systems, we use it only for that purpose, and we do not sell it, rent it, or share it for anyone’s marketing.
Information we collect
Contact and account information. Your name, service address, billing address, email address, and telephone numbers, including a mobile number if you provide one when scheduling service. We collect this directly from you when you request an estimate, sign a proposal, schedule a service appointment, or contact our office.
Project and system information. Design documents, floor plans and reflected ceiling plans, equipment lists, network configurations, system programming, serial numbers, and service history. This information is created in the course of designing and servicing your systems and is stored in our project management and document systems.
Payment information. Billing records and payment history. Credit card and bank account details are processed by our payment providers and are not stored on our own systems.
Website information. If you submit our website contact form, we receive the information you enter in it. Our website also uses Google Analytics, which collects standard usage information such as pages visited, approximate location, browser and device type, and referring site. Google Analytics uses cookies. You can disable cookies in your browser or install the Google Analytics opt out browser add on at tools.google.com/dlpage/gaoptout.
System access information. Where you have asked us to support your system, we may hold credentials and remote access to the platforms that run it, which can include lighting control, audio video, networking, climate, security, and surveillance systems.
How we use your information
We use the information we collect to:
• Prepare estimates, designs, and proposals
• Schedule and perform installation and service work
• Communicate with you about your project, your appointments, and your systems
• Coordinate with the architects, builders, interior designers, and electricians on your project, and only to the extent your project requires it
• Invoice you and process payments
• Maintain records of your system so we can support it in the future
• Meet our legal, tax, insurance, and warranty obligations
Text messaging
We use text messaging only for service communication with clients who have an active or scheduled service relationship with us.
How we get your number. We collect a mobile number when you set up a service appointment with us and provide that number for contact about the appointment.
What we send. Our technicians send service related messages only, and only when needed for your appointment. A sample message:
"Hello, this is your System Integrators technician, Justin. I am on my way and should arrive in approximately 45 minutes for your service appointment. Please let me know if there’s anything that I should know before I arrive today. If you wish to Opt-out of SMS messaging from System Integrators reply STOP"
What we never send. We do not send marketing, promotional, or advertising text messages. We do not use mobile numbers or any telephone number for marketing in any way.
Opting out. You can stop receiving text messages at any time by replying STOP to any message from us. You can reply HELP for assistance, or contact our support team at 802-213-9624 or support@sivermont.com. Message and data rates may apply. Message frequency varies and depends on your service activity.
Our commitment on mobile data. Mobile information collected for text messaging is never shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt in data and consent are not shared with any third party, other than the messaging service provider that delivers the message on our behalf and is prohibited from using the information for any other purpose.
Email and marketing
We send an occasional company email newsletter and periodic company emails to clients. Every one of them includes an unsubscribe link, and you can also ask to be removed at any time by writing to privacy@sivermont.com. Email addresses used for these mailings are not sold, rented, or provided to third parties. As stated above, telephone numbers are never used for marketing.
Remote access to your systems
Many of the systems we install can be supported remotely, which lets us diagnose and often resolve issues without a truck roll. We access client systems only when it is needed to service the account, and only for as long as the work requires. We do not monitor client systems, cameras, or audio for our own purposes, we do not review system activity out of curiosity, and we do not collect, analyze, sell, or share data about how you use your home. If you would prefer that we not maintain remote access to your system, tell us and we will remove it, with the understanding that some support will then require an on site visit.
How we share information
We do not sell your personal information. We do not rent, trade, or otherwise share it with third parties for their marketing purposes. We share information only in these limited circumstances:
• Your project team. With the architect, builder, interior designer, electrician, or other trades on your project, and only the information that project requires.
• Manufacturers and suppliers. With equipment manufacturers and distributors as needed to place orders, register products, process warranty claims, and obtain technical support.
• Monitoring providers. For clients with monitored security or life safety systems, with the central monitoring provider and, when an alarm requires it, with emergency responders.
• Service providers. With the companies that provide the software and services we run our business on, such as project management, document storage, accounting, payment processing, and messaging delivery. These providers may use your information only to provide the service to us and are prohibited from using it for their own purposes.
• Legal requirements. When required by law, subpoena, or court order, or where necessary to protect the safety of a person or property.
How we protect information
We limit access to client information to the employee owners and staff who need it to do their work. Credentials for client systems are stored in an access controlled password manager. Our business systems require multi factor authentication. Our staff are trained on confidentiality as a condition of employment, and our obligation to keep your information confidential continues after their employment ends. No system is perfectly secure, but we take the protection of client information seriously and review our practices regularly.
How long we keep information
We keep project and service records for the life of the client relationship and for a period afterward for warranty, tax, insurance, and legal purposes. Holding your system documentation over time is what allows us to support a system years after installation. Mobile numbers are removed from service texting when you opt out or when your account is closed. You may request deletion of your information as described below, subject to records we are required to retain.
Children
Our services are directed to homeowners and businesses. We do not knowingly collect personal information from children under 13.
Your choices and your rights
You may:
• Request a copy of the personal information we hold about you
• Ask us to correct information that is inaccurate
• Ask us to delete information we are not required to retain
• Opt out of text messages by replying STOP
• Opt out of company emails using the unsubscribe link in any message
• Ask us to remove remote access to your systems

Changes to this policy
We may update this policy from time to time. The effective date at the top of the page shows when it was last revised. Material changes will be posted on this page.

Program description
System Integrators Service Notifications is a service messaging program for clients of System Integrators Vermont. Through this program, our technicians and service coordinators send text messages related to your scheduled service appointments and to the systems we install and support. Messages are sent only when they are needed for your appointment or your service request.
Typical messages include technician arrival notifications, appointment confirmations, scheduling changes, and follow up about an open service request. A sample message:
Hello, this is your System Integrators technician, Justin. I am on my way and should arrive in approximately 45 minutes for your service appointment. How you enroll
You are enrolled when you provide your mobile number to System Integrators while setting up a service appointment and agree to receive text messages about that service. Consent to receive text messages is not a condition of purchasing any product or service from us. If you do not wish to receive text messages, we will contact you by phone or email instead.
Message frequency
Message frequency varies and depends on your service activity. Most clients receive messages only on the day of a scheduled appointment, typically one to three messages per appointment. You will not receive messages when you have no open or scheduled service with us.
Message and data rates
Message and data rates may apply. Standard message and data rates from your mobile carrier apply to any messages you send or receive. System Integrators does not charge for this program.
Opt out instructions
You can cancel the SMS service at any time. Reply STOP to any message you receive from us. After you send STOP, we will send one confirmation message and then stop sending service text messages to that number. You will no longer receive text messages from us unless you ask to rejoin the program, which you can do by contacting our office or by providing your number again when scheduling a future service appointment.
Opting out of text messages does not cancel your service appointment or your account. We will simply reach you by phone or email instead.

Supported carriers and delivery
This program is supported by major United States mobile carriers. Carriers are not liable for delayed or undelivered messages. Delivery is subject to effective transmission by your wireless service provider and is not guaranteed.
Please note. Do not rely on text messaging for emergency communication. For an emergency, call 911. For urgent system or life safety issues, call our support line at 802-213-9624, available 24 hours a day.
Privacy
We do not sell, rent, or share your mobile number. Mobile information collected for text messaging is never shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt in data and consent are not shared with any third party, other than the messaging service provider that delivers the message on our behalf and is prohibited from using the information for any other purpose.
